The terms that apply to sponsorship packages, exhibition spaces, payments, cancellations and sponsor conduct at CAQA Events functions.
These Sponsorship and Exhibitor Terms apply to organisations that sponsor, exhibit at or partner with events delivered by CAQA Events, part of CAQA Groups and a Career Calling International initiative. They cover applications, packages, payment, branding, exhibition spaces, cancellations, conduct and liability. A signed sponsorship or exhibition booking form, together with the package description for the relevant event, forms the agreement between the sponsor or exhibitor and Career Calling International Pty Ltd; where that agreement differs from these terms, the agreement prevails.
Sponsorship and exhibition opportunities are described on this website and in event prospectuses. This website does not process payments; it collects expressions of interest and enquiries only. A booking is confirmed when we accept a completed booking form in writing. We may decline an application that conflicts with the purpose or values of the event, an existing exclusive arrangement, or the interests of attendees. Category exclusivity applies only where it is expressly stated in the package.
Each package lists its inclusions, such as branding placement, speaking opportunities, exhibition space, complimentary registrations, program advertising and attendee communications. Inclusions cannot be exchanged for cash and unused inclusions lapse at the end of the event. We deliver inclusions with reasonable care and will consult the sponsor promptly if a listed inclusion becomes impracticable and offer a substitute of comparable value.
Sponsorship and exhibition fees are invoiced by Career Calling International Pty Ltd and are payable by the due date shown on the invoice, normally before the event. Prices are in Australian dollars and exclude GST unless stated otherwise. We may withhold delivery of inclusions, including exhibition space allocation, until payment is received in full.
Sponsors and exhibitors must supply logos, artwork and copy by the deadlines we notify. Materials must be accurate, lawful and consistent with Australian advertising standards, and we may decline or require changes to materials that are misleading, offensive or inconsistent with the event. Use of CAQA Events and CAQA Groups names and logos requires our prior written approval in each case.
Space allocations are made by the event team and may be adjusted to reflect the final floor plan; we will consult affected exhibitors about any material relocation. Exhibitors are responsible for their own stand staffing, equipment and valuables, must comply with venue rules, bump-in and bump-out schedules, and work health and safety requirements, and must leave the space in the condition in which it was provided.
Cancellation requests must be made in writing. Unless the booking form states otherwise, a cancellation received more than 60 days before the event releases the sponsor from fees not yet invoiced, with fees already paid refunded less a 20 per cent administration charge; a cancellation received 60 days or fewer before the event attracts the full fee, because packages are secured against the event budget and floor plan. We will always try to resell a cancelled package and, where we succeed, we will refund amounts recovered.
If we cancel an event, sponsors and exhibitors may choose a full refund of fees paid or a credit towards a comparable future event. If an event is postponed or moved, the booking carries over to the new date, venue or format; if the change materially reduces the value of a package, we will negotiate an adjusted package, credit or partial refund in good faith. We are not liable for a sponsor's own costs, such as travel, freight, collateral or staffing.
Sponsor and exhibitor personnel must comply with our Code of Conduct and Photography and Media Consent notice. Attendee lists are not provided unless the package expressly includes them and attendees have been given the choice described in our Privacy Policy; contact details collected at a stand or through lead scanning must be used in accordance with privacy and spam laws.
Exhibitors must hold current public liability insurance and provide a certificate of currency on request. Each party remains responsible for its own negligence. Nothing in these terms excludes rights under the Australian Consumer Law; to the extent permitted by law, our liability for other claims is limited to the resupply of the relevant inclusions or a refund of the fees paid for them.
