How photography, filming, recording and live streaming are managed at CAQA Events functions, and how attendees can opt out or raise concerns.
This Photography and Media Consent notice explains how CAQA Events, part of CAQA Groups and a Career Calling International initiative, manages photography, filming, audio recording and live streaming at the conferences, summits, workshops, awards nights and online events we deliver. It describes how images and recordings are used, the choices available to attendees, and how to raise a concern. It should be read together with our Event Terms and Privacy Policy.
Professional photographers and videographers are engaged at most CAQA Events functions. Photography and recording help us document sessions for attendees who could not be present, celebrate award winners, report to sponsors, promote future events and share sector knowledge through CAQA Groups channels, including publications associated with The VET Sector. Online events may be recorded so that registered attendees can view sessions after the live broadcast.
Photographs, video and recordings from our events may be used in event summaries and highlight reels, on CAQA Groups websites and social media accounts, in newsletters, brochures and sponsorship materials, in sector publications, and in promotional material for future events. Images are stored securely, are not sold, and are handled as personal information in accordance with our Privacy Policy where individuals can reasonably be identified.
By registering for and attending a CAQA Events event, you acknowledge that the event may be photographed, filmed and recorded, and you consent to the reasonable use of crowd, session and networking imagery in which you may appear, in the ways described above. Signage at the venue and notices in the event program or platform will remind attendees that recording is taking place. Formal portraits, staged photographs and interviews are only taken with the direct agreement of the people involved.
You can tell us at registration, at the registration desk on the day, or by contacting us before the event, and we will brief the photography team to avoid featuring you wherever reasonably practicable. Wide crowd shots and incidental background appearances cannot always be avoided, but we will not use a close-up image that clearly features a person who has asked not to be photographed. If an image of you has already been published and you would like it removed, contact us and we will remove or replace it from channels within our control as quickly as practicable.
Where an event is expected to include attendees under 18 or people who may be vulnerable, we obtain consent from a parent, guardian or responsible organisation before publishing identifiable images of those individuals.
Attendees are welcome to take personal photographs and share their experience on social media unless a session is announced as closed or confidential. Attendees must not record full sessions, live-stream event content, photograph slides marked confidential, or photograph other attendees in a way that is intrusive or contrary to our Code of Conduct. Event staff may ask anyone recording inappropriately to stop.
Speakers and panellists consent to the recording and reasonable reuse of their sessions as part of their speaking arrangements, and are told before their session whether it will be recorded. Sponsors and exhibitors may photograph their own stands and staff, and must obtain consent before featuring identifiable attendees in their own marketing. Accredited media attending an event are briefed on this notice and on any sessions that are closed to media.
